When will W-2s be available?
W-2 Addresses
Faculty/Staff W-2’s are mailed to the mailing address in the AIS HRMS (Human Resource Management System) if electronic consent is not provided. Any address changes must be received or updated in HRSS by the second week of January following the taxable year to ensure a correct mailing address on the W-2. For further information on Student W-2s, please refer to the Student Payroll Office, W-2 Information.
Student Employees: If you want your W-2 mailed to a particular address, you must change your address on the HRSS self-serve website or at HR Payroll in Woody Hall. Please check-in with the receptionist located in Room 152.
International addresses or non-US addresses cannot be entered in the payroll system. However, please send us your non-US address (if that is where you want your W2 mailed), and the W2 will be manually addressed.
How many W-2s will an employee receive?
Each employee will receive ONLY one W-2 regardless of the number of payroll types, classifications, assignments, or positions held; as the AIS system accumulates all y-t-d amounts prior to printing.
Fringe Benefit W-2s: Some employees may also receive an additional W-2 for the following taxable fringe benefits: vehicle usage, clothing provided, non-cash awards and gifts, moving expenses, etc.
Educational Tuition Waivers: The value of tuition waivers for undergraduate level courses is not taxable. The value of tuition waivers for graduate level courses (except Teaching or Research Assistants) is not taxable up to $5,250. If the value of your waiver exceeds this amount, your W-2 may be adjusted for the amount over the tax-free limit of $5,250.
What if an employee does not receive a W-2 or needs a duplicate W-2?
Note: All active employees and employees who retired after September 30, 2012, may access their W-2’s online through the hrss.siu.edu website if they provided electronic consent. All employees that were active during some time period in the current W-2 year, may access their current W-2 and prior W-2 forms online through April 30th of the year following the end of their employment, with the exception of retirees as they have unlimited access, if they provided electronic consent. Online training for Human Resources Self-Service is available.
In order to request a duplicate W-2 for any tax year, please complete the SIUC Employee Information Request form and return it along with your payment to Human Resources. Please fill out the Information Request form accurately and completely.
Duplicate W-2 requests will be processed as quickly as possible in the order in which they are received. Due to the large volume of requests, it may take 10 business days to process. After that time, the duplicate W-2 will be delivered according to your choice as indicated on the Information Request form.
If your address is incorrect, you must also complete a Change of Address form, as we cannot change your address from an Information Request form.
If you happen to receive your original W-2 before receiving your requested duplicate, please notify HR Payroll immediately at 618-536-3369.
