Sprintax

As part of ongoing efforts to enhance compliance and efficiency in the administration of international tax processes, Southern Illinois University Carbondale implemented a new software platform, Sprintax Calculus. This system replaced Reuters Tax Navigator and serves as the University’s official international tax compliance system.

Key Information

• Purpose: Sprintax Calculus manages international tax residency and withholding determinations for all non-U.S. citizens receiving income from SIU.
• Impact: This new system creates efficiencies for departments, students, faculty, staff and Human Resources while maintaining all required records for audit and retention purposes.

Departmental Action Items

Departments should:
1) Encourage all international employees and student workers to complete their Sprintax Calculus accounts immediately upon receiving their invitation email. If they have not received an invitation, they need to e-mail intltax@siu.edu requesting an invitation.
     i) The invitation email will contain the subject line: “{{ firstName }}, welcome to Southern Illinois University Sprintax Calculus.”
2) Direct them to log in using their SIU email address, complete all required questions, and download, sign, and upload all requested documents with signature.
3) Remind them that this step is mandatory to ensure proper tax withholding and compliance with IRS regulations.

Why This Matters

Failure to complete a Sprintax account can result in incorrect tax withholdings, which may cause:
• Excessive withholding, reducing take-home pay; or
• Under-withholding, resulting in a tax balance owed to the Internal Revenue Service (IRS) at year-end.

Program Benefits

Sprintax Calculus provides several advantages for both the University and our international population:
  • Greater ownership and control for students and employees to upload and manage their own tax documents.
  • Direct integration with Sprintax Returns, which is already in use at SIU, allowing for a seamless transition to filing annual income tax returns.
  • More efficient year-end processing of Forms 1042 and 1042-S, significantly reducing waiting times for issuance.
  • Enhanced communication and support between international students, staff, and the International Tax Office regarding taxation status, treaty eligibility, and related inquiries.
IMPORTANT: Please note that old paper forms should no longer be provided or distributed to students or employees.

Support and Communication

The International Tax Office will send direct communications to international students, faculty, and staff reminding them to complete their Sprintax accounts. Departments are asked to reinforce this message and encourage timely completion.
If an employee or student does not receive their Sprintax invitation, they should contact the International Tax Office at intltax@siu.edu for assistance.

    MyBenefits Plus is excited to share that a new voluntary benefit is now available to State of Illinois members: Life Insurance with Long-Term Care, provided by Trustmark. This is an innovative program that combines Permanent Life Insurance with Long-Term Care (LTC) benefits—all in one affordable plan.

    This new coverage:

    • Provides cash benefits if long-term care is ever needed (at any age).
    • Includes a death benefit for beneficiaries.
    • Offers guaranteed issue coverage with no medical questions asked (up to benefit limits).
    • Comes with access to Cariloop®, a Caregiver Support Platform that helps members navigate elder care, Medicare/Medicaid, and other caregiving challenges with professional coaching and resources.

    Current employees can enroll for this life insurance with Long-Term Care coverage with no medical questions or exam, but it is only available through December 5. Please visit https://mybenefits.illinois.gov/ to enroll.

  • Civil Service Advisory Committee Petitions Available

    Beginning October 14, 2025

    Position for Candidacy Form

    University civil service employees have until October 21 to petition for election to the State Universities Civil Service Advisory Committee. One civil service employee will be elected to serve on the committee for a four-year term from January 1, 2026 - December 31, 2029. 

    The election will be November 17. To be eligible, candidates must be a certified status civil service employee with an appointment at SIU Carbondale, and a minimum of three consecutive years of civil service employment in an institution currently served by the State Universities Civil Service System. 

    A link to the petition and statement of candidacy for will be available beginning October 14 on the Department of Human Resources website under announcements. Completed forms must be submitted to Human Resources via campus mail or fax to 453-1353 by October 21.

  • 2024 W-2s are available on HRSS

    2024 W-2 forms are now available for viewing and printing on the HRSS self-serve website for those who agreed to Electronic W-2 Consent. For those who did not provide electronic consent, your 2024 W-2 form will be mailed by January 31, 2025.

    Due to the volume of employees attempting to access the HRSS self-serve website at the same time, it is possible that you could receive an error message. If this occurs, please wait an hour or so before you try again.

  • Supplemental retirement, deferred compensation plans updated

    The Internal Revenue Service has increased the amounts individuals can contribute to their 403(b) and 57(b) accounts for 2025. The basic limit increased from $23,000 to $23,500. Employees age 50 and older can elect to defer an additional $7,500 for the year, for a total maximum deferral of $31,000. Under a change made in SECURE 2.0, a higher catch-up contribution limit applies for employees aged 60, 61, 62 and 63 who participate in these plans. For 2025, this higher catch-up contribution limit is $11,250 instead of $7,500. The limits apply to both the 403(b) and 457(b) plans.

  • SIU made the Forbes' America's Best Employees by State list

    Southern Illinois University-Carbondale is the flagship institution in the public Southern Illinois system. SIU was founded in 1869 as a teacher’s college and the school’s roots still stand, with 10% of students majoring in education. The area surrounding SIU campus is bucolic, with two state parks and four recreational lakes within 10 miles of campus. Home to 23 research centers and institutes, SIU received $69 million in external research funding last year. SIU has recently recognized a pair of noteworthy alumni in the performing arts, as actress Melissa McCarthy and actor Bob Odenkirk both received honorary doctorates from the university since 2019.

  • Salary Increases

    Human Resources was delighted to learn that the SIU Board of Trustees approved a 1% increase to the salary pool for SIU Carbondale at its September 12 meeting.

  • MyBenefits Service Center

    What is MyBenefits Service Center (MBSC)?

    The State of Illinois now offers a web-based online platform entitled MyBenefits. All plans administered by the State of Illinois, including the State Employees Group Insurance Program (SEGIP), have access to their benefits and dependents information online.

    The site is designed specifically for you to access your benefit options into a one-stop shop for your insurance needs. This includes learning more about your current insurance benefits, making enrollment decisions, changing your current coverage and finding contact information for all your plan administrators.

  • Fiscal Officer Certification Reports

    Effective June 1, 2016, Fiscal Officer Certification Reports will no longer be distributed in printed form.

    Instead, Fiscal Officers and other authorized personnel will access reports electronically.

    This process will shorten the wait time for receiving the reports and greatly improve options for processing, printing and archival access. This change applies to Civil Service, Faculty/AP/Graduate Assistant and Student Employment Fiscal Officer Certification reports. For the months of April and May, these reports will be distributed in printed form and beginning April 15, 2016 with ST9 and payrolls that run thereafter, they will also be accessible electronically by Fiscal Officers and other authorized personnel.

    With each payroll processing cycle, everyone with proper AIS/Reports responsibility (Financial Officers, Delegates, authorized others) will receive email notification that certifications are ready for processing. Complete instructions for running either Staff or Student Fiscal Officer Certification reports are found at oit.siu.edu/ais/ais-info/training under Module 5 - Appendix B.   

    Please share this important information with members of your staff that handle reconciliation of these financial reports and encourage them to review the complete instructions in advance of implementation.  Persons with proper AIS/Reports responsibility but who are unable to process the reports as instructed may contact the Payroll office.
